This job is for an experience PA/Head of Administration is to work in Head Office to control the administration process for 9 care homes and you will be required to work as PA to the Executive.  A strong personality, able to work under pressure, excellent written and verbal communication skills are required and ability to work unsupervised. Knowledge of working within the care industry is prefered but not essential.
The job role
To work as Executive Personal Assistant to the Chief Executive
Take charge of Head of Administration
Manage internal/external reporting processes
Manage the chief executive's diary and meetings schedule
prepare all documentation and other materials for external meetings and presentations, as instructed
manage the Chief Executies correspondence on a daily basis, typing and composing all letters as instructed
Attend meetings, as instructed, to take minutes and prepare outcome reports
take overall responsibility for the smooth running of the Chief Executive's office and ensure all reports are received from Head Office personnel and Homes Managers to required schedules
Organise all internal meetings, as directed, ensuring attendance of all staff
Answer telephone calls and manage the daily post and distribute accordingly.  Deal with all incoming e-mail traffic and re-direct as required
Maintain all document files and keep in good order and be responsible for safe keeping of confidential reports and other material at all times
input all data, as directed onto Head Office information management system (salesforce) and manage all information flow between the homes and head office
manage petty case ledger. Order all stationery/equipment as required
Type up reports and distribute them weekly/monthly
Weekly update to monthly tracker reports, unusual events reports, movement sheets for homes managers and clinical service managers. Update report to company directors
Monthly board reports, tracker reports and PIC reports from Homes Managers (8 reports currently - to increase with acquisitions)
All assessments when completed by clinical services manager/Homes managers. 3 monthly appraisal summaries of Homes Managers. Annual Performance Appraisals of Homes Managers, Marketing Material as directed by Head of Marketing and memorandums/information sheets for Homes Managers as received from CEO & Operations Director
